Booking entertainment sounds easy:
“We need something fun for the evening.”
But in reality, it is often one of the things that most influences the whole experience. The right entertainment can elevate an event, bring people together and create memories. The wrong conditions can make it feel like an excruciating wait for it to be over and a waste of money.
Here are four things to keep in mind before booking entertainment.
Here are four things I think you should have with you before you book entertainment
1. What is the purpose of the entertainment?
This is the most important issue, and the one that is often forgotten.
Do you want to:
- break the ice between guests?
- create energy in the room?
- provide a shared experience?
- or just have something ‘in the background’?
Entertainment works best when it has a clear role in the event.
When I work with magic, it’s never just about tricks. It’s about getting people to talk to each other, laugh together and feel like they are part of something.
The clearer you are about the purpose, the better the result.
2. Be out in good time
A classic is that many people start looking for entertainment very late in the process. The problem is that the best options are often already booked, and it’s easy to make a quick decision instead of a good one.
But it’s not just about accessibility.
When we have time, we can also talk it through:
- what you want to achieve
- how to place the entertainment in the schedule
- how to create the best flow during the evening
That’s where the magic starts, long before the event itself.
3. Keep an eye on the budget from the start
It doesn’t have to be exact to the penny, but having a clear budget saves time for everyone.
It does that:
- you get the right proposal right away
- we can customize the approach to your framework
- you don’t have to guess
Good entertainment is an investment in the experience and when done right, it shows.
4. Create the right conditions
This is the part that is often underestimated.
Entertainment is never better than the conditions around it.
Some simple things to consider:
- Is there a stage, sound and lights if you book a stage show?
- Does the entertainment clash with other activities?
- Does it have the space to actually grab the audience’s attention?
Having a troubadour and magic in the same room at the same time rarely works, both deserve their own focus.
When each part gets its space, the whole experience is enhanced.
A final thought
Good entertainment is not about “filling out a program”.
It’s about people.
About people-to-people encounters, laughter and moments that stick with you.
When it works at its best, you notice it directly in the room.
Frequently asked questions about booking entertainment
Yes – and that is often what creates the best whole. Mingle magic during cocktail hour, table entertainment during dinner, and a stage show at the end is a classic set-up that works precisely because each format has its natural place in the evening. What is important is that each part gets its own space. Two entertainers in the same room at the same time competing for attention – no one benefits from that.
Good question. Because people don’t remember schedules, they remember feelings. My entertainment is about creating those moments where people come together, look at each other and think “what just happened?”. That’s where the magic happens, literally.
Preferably as early as possible, because most dates are booked at least six months in advance. But sometimes you’ll get lucky and sometimes we’ll work it out anyway. So get in touch, whatever the case.
